Presenting your Poster at iPRES 2025

We were delighted to receive so many excellent submissions for the conference poster sessions. If you are now asking yourself what happens next, how you will be presenting your poster, which fonts to use, then this blog post is for you!


Design Considerations

  • Keep it clear, concise, and engaging.

  • Ensure readability from distance

    • use large enough fonts (at least 32pt)

    • ideally use sans serif fonts

    • strong contrast

  • Obtain proper copyright permissions for images used and provide credits where applicable.

  • Images should be high-resolution.

  • Clearly list the authors and include contact information for follow-up.

  • Printed posters can use landscape or portrait orientation. Digital posters should be landscape orientation for best display on a screen.


Before the Conference: What to submit and when

We have two types of poster presentations - in-person and remote. What you need to prepare will depend on which type of presentation you are giving.

Upload your digital poster (and 1-minute recorded presentation if required) to the iPRES 2025 Dropbox by Monday 13 October, End of Day, Anywhere on Earth. The Dropbox link will be supplied via email to accepted presenters.


Digital Poster (all presenters)

All poster presenters - whether in person or remote - must submit a digital version of their poster. This version will not undergo further review (your original Poster submission proposal has already been reviewed and accepted). 

  • Deadline: Monday 13 October, End of Day, Anywhere on Earth

  • Updates: If you need to make changes later, please re-upload the updated version in the same way by the deadline noted above and notify us at info@ipres2025.nz that you have supplied a new version.

  • Design guidance: See the Design Considerations section below.

  • Format: Ensure your digital poster is in PDF format.

  • File name: Please name the file as “poster_name_surname.pdf”


Paper Poster (in-person presenters only)

In-person presenters should also bring a printed copy of their poster to display onsite. Poster presentations will be attached to Velcro receptive panels.

  • Content: Your paper poster should match the content of your digital version.

  • Poster board size: 1200 x 2300 mm.

  • Poster size: No larger than A0 (1189 x 841 mm).

  • Materials provided: We will supply the necessary attachments for hanging your poster. Please do not bring your own pins or tape.


Recorded Presentations (remote presenters only)

Remote presenters are asked to record a one-minute video presentation that introduces their poster. These will be shown on 4 November during the Quickfire 2 Session at the conference.

  • Length: Maximum one minute.

  • Deadline: Upload your recording to the iPRES 2025 Dropbox by Monday 13 October, End of Day, Anywhere on Earth.

  • Format: Ensure your video is in MP4 format and that the audio is clear.

  • File name: Please name the file as “presentation_poster_name_surname.mp4”


During the Conference: How to Present Your Poster


In-person Presenters
  • Set-up: Bring your poster to the registration desk on Monday 3 November, and someone will be available to help you with setup. Attachment supplies and velcro-receptive boards will be provided onsite. Posters will remain on display for the duration of the conference.

  • Presentation opportunities:
    • Quickfire 1 session - Tuesday morning (11:00-12:00 NZT)

      • You will have one minute to give a live introduction to your poster. This session is part of the Hybrid Track and will be accessible to both in-person and remote attendees. 

    • Poster Session - Tuesday afternoon (16:30-17:30 NZT)

      • An informal in-person session in the Conference Foyer where attendees can browse posters and talk directly with authors. During this session, attendees will vote for the Best Poster Award.

      • In-person poster authors are expected to be present at their poster for the full duration of the Poster session.


Remote Presenters
  • Quickfire 2 session (Tuesday 13:00-14:30 NZT)

    • Your pre-recorded one-minute presentations will be played during this session. This is part of the virtual track and will be accessible online to all registered attendees.
